The new online system is expected to make it easier for former candidates to access their academic documents without having to make physical visits to KNEC offices.
According to the guidelines issued by the council, the platform is available to candidates who sat the KCSE examination from 1989 to the present. Applicants can use the system to request their digital certificates after completing an online verification process and paying the required fee.
The first step for a new applicant is to create an account on the KNEC e-Certificate portal. During registration, candidates are required to select the Applicant (Student/Alumni) account option and provide their full name and email address.
After submitting their details, applicants must verify their identity using a six-digit One-Time Password (OTP) sent to the email address they provided. Those who already have accounts on the platform can simply log in using their registered email address and request a new OTP when necessary.
Once an applicant successfully accesses their account, they are required to update their personal profile. The information may include details such as citizenship, date of birth, phone number and national identification information, where applicable.
After completing the profile, the applicant can proceed to request an electronic certificate. The candidate will be required to select the option to generate an e-certificate before entering key examination details.
These details include the KCSE index number, the year in which the examination was taken and the examination type. The system then verifies the information submitted before allowing the applicant to proceed with the payment process.
KNEC has set the cost of obtaining an e-certificate at Ksh1,500. The payment can be completed through an M-Pesa STK push or another payment option available through the online platform.
Once the payment has been successfully processed and confirmed, the applicant can download the electronic certificate in PDF format.
The digital certificate can then be stored electronically or printed for personal use, depending on the requirements of the institution or organisation requesting it.
The e-Certificate platform also provides an additional service for individuals who need their academic qualifications verified by employers, universities, colleges or other institutions.
Candidates who require a verification report can upload the downloaded e-certificate in PDF format through the platform. They will then be required to select the institution or organisation where the verification report should be sent.
Applicants can choose a recipient from the available list or provide details of another institution or organisation. They can also select a preferred method of delivery, including email, before completing the process.
The applicant must accept the required consent declaration and make any additional payment requested for the verification service. Once the request has been processed, the verification report is sent directly to the selected recipient.
The applicant also receives an email notification confirming that the transaction has been completed.
KNEC says the digital system is intended to simplify access to examination certificates and make verification easier for employers and learning institutions. The move is also expected to reduce the pressure on candidates who previously had to travel to the council's offices to seek assistance with certificate-related services.
For former KCSE candidates planning to use the service, the basic process involves registering or logging into the e-Certificate portal, updating personal information, selecting the e-certificate generation option and entering the required examination details.
The applicant must then complete the verification process and pay the Ksh1,500 fee before downloading the certificate.
Those who need to submit proof of their academic qualifications to an employer or institution can use the downloaded certificate to request an official verification report through the same platform.
